Terms and Conditions & Cancellation Policy
Liability Waiver
By participating, riders acknowledge that they are ready for a ride at their own risk. The organizers are not responsible for any personal injuries, accidents, or loss of personal property during the tour.
All riders are required to sign a waiver indicating that they understand and accept the inherent risks associated with high-altitude biking.
Visa Requirements
Riders need a Tourist Visa. Choose between an e-visa (valid for 60 days, double entry) or a Regular Tourist Visa for longer stays.
Booking Amount & Cancellation
Payment Structure
- Deposit: A $499 deposit is required upon booking and is refundable only if canceled within 7 days of booking.
- Second Payment: An additional $499 is due 45 days before the tour start date.
- Final Payment: The pending balance can be settled upon arrival or earlier, as per your preference.
- Late Payments: If payment is not completed by the due date, Riders Rally reserves the right to cancel your booking without refund of any previous payments.
Payment Methods
- Accepted: Bank transfer, card payment, or PayPal (additional fees apply for PayPal).
- Not Accepted: Cash or checks.
- Refundable Booking Amount: Your booking deposit of $499 is fully refundable within 7 days of booking. After this period, the booking amount becomes non-refundable.
Cancellation Policy:
- 90–60 Days Before Tour: Cancellations incur a 25% charge.
- 59–45 Days Before Tour: Cancellations incur a 50% charge.
- Within 45 Days of the Tour: No refund is provided.
- Riders Rally Cancellation: If Riders Rally cancels the tour for any reason, you will receive a 100% refund of the tour price.
- Cancellation Process: All cancellations must be sent via email. We do not accept cancellations over calls or WhatsApp.
- No-Show Policy: No refunds if you fail to arrive on the day of departure within the communicated timeframe.
Refund Policy
Any Refund will take 5-7 business days to be processed by the Riders Rally Team.
Unforeseen Circumstances
Riders Rally does not offer refunds in cases of events like government restrictions, political unrest, adverse weather, or natural disasters.
In most cases, we have backup plans, and we will proceed with an alternate itinerary as best as possible. While some activities may be modified or canceled due to safety or legal constraints or due to a circumstance that is not in our control, these adjustments ensure the highest level of safety under challenging conditions.
Weather & Route Changes
Routes and itineraries can change based on weather conditions or road safety concerns. No refunds will be provided for route alterations that are made for safety purposes, and riders agree to comply with any changes implemented by the tour managers.
Extra Expenses
The Riders Rally does not cover any additional costs due to unexpected situations (e.g., extreme weather, natural disasters, or political actions).
Additional Notes:
- Bank Charges: All transaction fees, if applicable, are the responsibility of the rider.
- Booking Confirmation: Upon deposit payment, an invoice with all booking details will be sent to you.
- Eligibility: By booking, you confirm that you have the requisite motorcycling experience and accept all Terms and Conditions in this document.
Emergency Protocols
The safety of riders is a top priority. In case of emergencies, such as altitude sickness or accidents, tour managers are equipped with the necessary training and equipment. Riders agree to follow the guide’s instructions and may be required to modify or end their trip, prioritizing safety.
Medical Disclosure
Riders must disclose any known medical conditions, including allergies, recent surgeries, or health concerns that may be aggravated by high-altitude activities. By signing this agreement, riders confirm they are physically and medically fit for the ride.
Insurance Requirements
Each rider must have travel and medical insurance, ideally covering high-altitude and adventure activities, medical evacuation, and trip cancellation.
Vehicle Liability
Riders are responsible for any damage, theft, loss, or additional charges for mishandling or improper use.
Behavior & Conduct
Set expectations for respectful and responsible conduct toward local communities, fellow travelers, and the environment. Include consequences of violating these terms, which may include removal from the tour.
